Samurai Translators (hereinafter "We, Us or Our") understands that Our client's personal information is a valuable asset entrusted to us to be kept under the strictest management and is likewise a valuable asset to Us in terms of being a source of new value creation.
We shall manage personal information following Our code of ethics and handle all Our clients personal information in accordance with the basic policies described below.

1. Basic Policies

1. We will strictly comply with the Act on the Protection of Personal Information in Japan and the Data Protection Act in the U.K. as well as any other relevant laws and regulations.
2. We will establish a system for managing personal information and make Our officers and employees aware of Our regulations and endeavour to comply fully therewith.
3. We shall handle all personal information within the scope of its intended use expressly explained to the client. Furthermore, the personal information provided to Us by a client will not be disclosed or provided to a third party without the consent of the client or justifiable grounds therefor.
4. In addition to ensuring that personal information is accurate and up-to-date, we shall strive to prevent unauthorized access to, loss or destruction of, tampering with, and leakage of personal information, etc.
5. We shall respond in good faith and in a timely manner to any inquiries regarding personal information and any request regarding the disclosure thereof.

2. Use of Personal Information

When Our clients provide Us with their personal information, We shall clearly define the purpose of the use thereof in advance, and shall only use the same within the scope of such purpose.
If it is necessary for Us to use clients' personal information outside the scope notified of in advance, We shall notify the client thereof and obtain consent therefrom prior to use of the same.

3. Provision of Personal Information

1. Other than in the following cases, We shall never disclose or provide personal information obtained from Our clients to any third party.
   1. Where consent has been obtained from the client
   2. In cases pursuant to laws and regulations
   3. Where necessary for the preservation of human life, physical safety and property and in situations where obtaining the consent of the client is difficult
   4. When consigning the handling of personal information to another party to the extent necessary to achieve the purpose of the use thereof
   5. In the case of a merger, company split or if we transfer our business or our business is succeeded by any other method.
2. Notwithstanding 1. above, the Company, if a response is considered to be required from our manufacturers handling our products, affiliated companies or agents in response to an inquiries made by our clients regarding our products and services, we may provide the client's address, name, telephone number, etc.
   In this case, the clients may request us to terminate the provision of personal information to such relevant companies, etc.

4. Procedures for the Request for Disclosure

We will delete and erase any personal information obtained from our clients in our possession after a specified period (and once use of the translation and translation certificate has expired). Once personal information is deleted, we cannot respond to any requests for the disclosure thereof. Your understanding in this matter is appreciated.

5. Inquiries Regarding Personal Information

1. To make direct inquiries regarding your personal information, please contact the relevant department where such personal information is registered. (i.e. contact the Website Department if you have contracted the translation of a website or webpage).
2. To make general inquiries regarding our personal information protection policy or if the department where your information is registered is unavailable, please contact the person in charge of personal information protection.

Purpose of Use of Personal Information

We will use personal information obtained from our clients for the following purposes.

   2. To respond and reply to inquiries or questions
   3. To perform the service contract
   4. To negotiate and consult, etc. with clients
